1. Introduction and Acceptance of Terms
Welcome to The Northeastland Hotel (“Hotel,” “we,” “us,” or “our”). This website, https://thenortheastlandhotel.com (the “Site”), is owned and operated by The Northeastland Hotel, a property of Ignite PI, a 501(c)(3) nonprofit organization, located in Presque Isle, Maine.
By accessing or using our Site, making a reservation, or purchasing products through our online store, you (“User,” “you,” or “your”) agree to be bound by these Terms & Conditions (“Terms”). If you do not agree to these Terms, please do not use our Site or services.
These Terms apply to all visitors, users, and others who access or use the Site, including but not limited to room reservations, restaurant bookings, event space inquiries, workshop registrations, and purchases from our WooCommerce store.
2. Related Policies
These Terms should be read in conjunction with our other policies:
- Privacy & Cookie Policies – Governs how we collect, use, and protect your personal information, including our use of cookies and tracking technologies
- Hotel Policies – Outlines rules, procedures, and fees applicable during your physical stay at the Hotel
In the event of any conflict between these Terms and our other policies, these Terms shall prevail with respect to website usage and online transactions.
3. Modifications to Terms
We reserve the right to modify, amend, or update these Terms at any time without prior notice. Material changes will be effective immediately upon posting the revised Terms on the Site. The “Last Updated” date at the top of this page indicates when the Terms were last revised.
Your continued use of the Site following the posting of changes constitutes your acceptance of such changes. We encourage you to review these Terms periodically to stay informed of any updates.
4. Eligibility and Account Registration
4.1 Age Requirement
You must be at least 18 years of age to make a reservation, create an account, or make purchases through our Site. By using our Site, you represent and warrant that you meet this age requirement.
4.2 Account Accuracy
If you create an account on our Site, you are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to provide accurate, current, and complete information during registration and to update such information as necessary to maintain its accuracy.
4.3 Account Security
You agree to immediately notify us of any unauthorized use of your account or any other breach of security. We are not liable for any loss or damage arising from your failure to comply with these security obligations.
5. Use of the Website
5.1 Permitted Use
You may use the Site for lawful purposes only and in accordance with these Terms. You agree not to:
- Use the Site in any way that violates any applicable federal, state, local, or international law or regulation
- Engage in any conduct that restricts or inhibits anyone’s use or enjoyment of the Site
- Attempt to gain unauthorized access to any portion of the Site, other accounts, computer systems, or networks connected to the Site
- Use any robot, spider, scraper, or other automated means to access the Site for any purpose without our express written permission
- Introduce any viruses, trojan horses, worms, logic bombs, or other material that is malicious or technologically harmful
- Attempt to interfere with the proper working of the Site or any activities conducted on the Site
- Impersonate or attempt to impersonate the Hotel, a Hotel employee, another user, or any other person or entity
5.2 Intellectual Property Rights
The Site and its entire contents, features, and functionality (including but not limited to all information, software, text, displays, images, video, audio, design, selection and arrangement, and the Hotel’s logos, trademarks, and service marks) are owned by The Northeastland Hotel, Ignite PI, our licensors, or other providers of such material and are protected by United States and international copyright, trademark, patent, trade secret, and other intellectual property or proprietary rights laws.
You may not reproduce, distribute, modify, create derivative works of, publicly display, publicly perform, republish, download, store, or transmit any of the material on our Site, except as follows:
- Your computer may temporarily store copies of such materials in RAM incidental to your accessing and viewing those materials
- You may store files that are automatically cached by your web browser for display enhancement purposes
- You may print or download one copy of a reasonable number of pages of the Site for your own personal, non-commercial use
You must not:
- Modify copies of any materials from the Site
- Delete or alter any copyright, trademark, or other proprietary rights notices from copies of materials from the Site
- Use any illustrations, photographs, video or audio sequences, or any graphics separately from the accompanying text
5.3 User-Generated Content
If you post, upload, or submit any content to the Site (including reviews, comments, photos, or other materials), you grant us a non-exclusive, royalty-free, perpetual, irrevocable, and fully sublicensable right to use, reproduce, modify, adapt, publish, translate, create derivative works from, distribute, and display such content throughout the world in any media.
You represent and warrant that you own or control all rights in and to any content you post and that such content does not violate these Terms, any applicable law, or the rights of any third party.
6. Room Reservations and Bookings
6.1 Booking Process
When you make a reservation through our Site or booking engine powered by Cloudbeds, you are making an offer to reserve accommodations at The Northeastland Hotel. Your reservation is not confirmed until you receive a confirmation email from us. We reserve the right to refuse any reservation request for any reason.
6.2 Payment Authorization
A valid credit card is required at the time of booking to hold your reservation. By providing your payment information, you authorize us to charge your card for the reservation amount, applicable taxes (including occupancy tax), any applicable fees as outlined in our Guest Policies, and any additional charges incurred during your stay.
6.3 Payment Processing
Room reservation payments are processed securely through Cloudbeds’ integrated payment system. By making a reservation payment, you agree to Cloudbeds’ Terms of Service and Privacy Policy. We do not store your complete credit card information on our servers.
6.4 Pricing and Taxes
All room rates are quoted in U.S. Dollars and are subject to applicable occupancy taxes. Room rates do not include any resort fees, as we do not charge resort fees. Rates are subject to change based on availability and demand. The rate applicable to your reservation is the rate in effect at the time your reservation is confirmed.
6.5 Cancellation Policy
Reservations must be canceled more than 24 hours prior to your scheduled check-in time (3:00 PM) to avoid penalty fees. Cancellations made within 24 hours of check-in will forfeit the first night’s room rate. For complete cancellation terms, please refer to our Guest Policies.
6.6 Modifications to Reservations
Reservation changes made before or during your stay may result in rate changes or additional fees. We cannot guarantee that modification requests will be accommodated, particularly during high-demand periods.
6.7 No-Show Policy
Failure to check in by midnight on your scheduled arrival date without prior notification will be considered a no-show. No-show reservations will be charged the full amount of the first night’s stay and the remainder of the reservation will be canceled.
6.8 Force Majeure
We shall not be liable for any failure or delay in performing our obligations under a confirmed reservation where such failure or delay results from circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, riots, labor disputes, governmental actions, pandemics, epidemics, or failure of public utilities or common carriers. In such events, we will make reasonable efforts to accommodate affected guests or provide refunds at our discretion.
7. Online Store and E-Commerce
7.1 Products and Services
Our WooCommerce store offers merchandise related to The Northeastland Hotel, tourism memorabilia, and other products as we may add from time to time. All products are offered subject to availability.
7.2 Nonprofit Pricing
As a 501(c)(3) nonprofit organization operated by Ignite PI, we sell merchandise at cost. All proceeds support our nonprofit mission and operations.
7.3 Product Descriptions
We attempt to be as accurate as possible in describing our products. However, we do not warrant that product descriptions, images, or other content on the Site is accurate, complete, reliable, current, or error-free. If a product is not as described, your sole remedy is to return it in accordance with our return policy.
7.4 Pricing and Availability
All prices are in U.S. Dollars. We reserve the right to change prices at any time without notice. However, the price charged for a product will be the price in effect at the time your order is placed, subject to acceptance of your order. We reserve the right to limit quantities and to discontinue products at any time without notice.
7.5 Order Acceptance
Your receipt of an order confirmation does not signify our acceptance of your order, nor does it constitute confirmation of our offer to sell. We reserve the right to refuse or cancel any order for any reason, including but not limited to product unavailability, errors in product or pricing information, or suspected fraud or unauthorized transactions.
7.6 Payment for Products
Payment for store purchases is processed through Stripe, our third-party payment processor. By making a purchase, you represent and warrant that you are authorized to use the payment method provided and that the payment information you provide is accurate. Store payments are separate from room reservation payments, which are processed through Cloudbeds.
7.7 Shipping and Delivery
Many of our products are fulfilled through print-on-demand services such as Printify. Shipping times and costs will be displayed at checkout. We are not responsible for delays caused by the shipping carrier or customs processing. Risk of loss and title for products purchased from our store pass to you upon delivery to the shipping carrier.
7.8 Returns and Refunds
Our return and refund policy for store purchases will be determined and communicated separately. Please contact us at rooms@thenortheastlandhotel.com for information regarding returns or refunds on store purchases. As a nonprofit selling at cost, our ability to offer refunds may be limited.
Note: Room reservations are subject to the cancellation policy outlined in Section 6.5 and our Guest Policies.
7.9 Tax Collection
Sales tax will be collected on applicable purchases in accordance with Maine state law and the tax laws of your jurisdiction, if applicable.
8. Third-Party Services and Links
8.1 Third-Party Providers
Our Site utilizes various third-party services, including but not limited to:
- Cloudbeds (property management system, booking engine, and payment processing for reservations)
- Stripe (payment processing for online store purchases)
- Printify or similar services (print-on-demand fulfillment)
- WooCommerce (e-commerce platform)
Your use of these third-party services is subject to their respective terms of service and privacy policies. We are not responsible for the practices, policies, or actions of these third parties.
8.2 Third-Party Links
The Site may contain links to third-party websites or services that are not owned or controlled by The Northeastland Hotel. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services. You acknowledge and agree that we shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with the use of or reliance on any such content, goods, or services available on or through any such websites or services.
We strongly advise you to read the terms and conditions and privacy policies of any third-party websites or services that you visit.
9. Disclaimer of Warranties
THE SITE, INCLUDING ALL CONTENT, FUNCTIONS, AND INFORMATION MADE AVAILABLE ON OR ACCESSED THROUGH THE SITE, IS PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITHOUT REPRESENTATIONS OR WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED.
TO THE FULLEST EXTENT PERMISSIBLE PURSUANT TO APPLICABLE LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
WE DO NOT WARRANT THAT:
- The Site will be secure, uninterrupted, or error-free
- The Site will be free of viruses or other harmful components
- Defects will be corrected
- The Site or the servers that make the Site available are free of viruses or other harmful components
- The results that may be obtained from the use of the Site will be accurate or reliable
- The quality of any products, services, information, or other material obtained through the Site will meet your expectations
YOUR USE OF THE SITE IS AT YOUR SOLE RISK. ANY MATERIAL DOWNLOADED OR OTHERWISE OBTAINED THROUGH THE USE OF THE SITE IS ACCESSED AT YOUR OWN DISCRETION AND RISK.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL THE NORTHEASTLAND HOTEL, IGNITE PI, OR OUR AFFILIATES, DIRECTORS, OFFICERS, EMPLOYEES, AGENTS, SUPPLIERS, OR LICENSORS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION, LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, RESULTING FROM:
- Your access to or use of or inability to access or use the Site
- Any conduct or content of any third party on the Site
- Any content obtained from the Site
- Unauthorized access, use, or alteration of your transmissions or content
- Any errors or omissions in any content or for any loss or damage incurred as a result of the use of any content posted, emailed, transmitted, or otherwise made available through the Site
WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), PRODUCT LIABILITY, OR ANY OTHER LEGAL THEORY, WHETHER OR NOT WE HAVE BEEN INFORMED OF THE POSSIBILITY OF SUCH DAMAGE, AND EVEN IF A REMEDY SET FORTH HEREIN IS FOUND TO HAVE FAILED OF ITS ESSENTIAL PURPOSE.
IN NO EVENT SHALL OUR AGGREGATE LIABILITY ARISING OUT OF OR IN CONNECTION WITH THESE TERMS OR YOUR USE OF THE SITE EXCEED THE GREATER OF ONE HUNDRED U.S. DOLLARS ($100) OR THE AMOUNT YOU HAVE PAID TO US IN THE SIX (6) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM.
SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF INCIDENTAL OR CONSEQUENTIAL DAMAGES, SO THE ABOVE LIMITATIONS OR EXCLUSIONS MAY NOT APPLY TO YOU.
11. Indemnification
You agree to defend, indemnify, and hold harmless The Northeastland Hotel, Ignite PI, and our respective officers, directors, employees, agents, licensors, and suppliers from and against any and all claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable attorneys’ fees) arising out of or relating to:
- Your violation of these Terms
- Your use of the Site
- Your violation of any rights of another party
- Your violation of any applicable laws, rules, or regulations
- Any content you post or submit to the Site
- Any damage to property or personal injury caused by you during your stay at the Hotel
12. Dispute Resolution and Governing Law
12.1 Governing Law
These Terms and any dispute or claim arising out of or in connection with them or their subject matter shall be governed by and construed in accordance with the laws of the State of Maine, without regard to its conflict of law provisions.
12.2 Jurisdiction and Venue
You agree that any legal action or proceeding arising out of or relating to these Terms or the Site shall be brought exclusively in the state or federal courts located in Aroostook County, Maine, and you irrevocably consent to the personal jurisdiction and venue of such courts.
12.3 Informal Resolution
Before filing a claim, you agree to try to resolve the dispute informally by contacting us at rooms@thenortheastlandhotel.com. We will attempt to resolve the dispute informally by contacting you via email. If a dispute is not resolved within sixty (60) days of submission, you or The Northeastland Hotel may bring a formal proceeding.
12.4 Class Action Waiver
You and The Northeastland Hotel agree that any proceedings to resolve or litigate any dispute, whether in arbitration, in court, or otherwise, will be conducted solely on an individual basis, and that neither you nor The Northeastland Hotel will seek to have any dispute heard as a class action or in any other proceeding in which either party acts or proposes to act in a representative capacity.
13. Privacy and Data Protection
Your privacy is important to us. Our collection, use, and disclosure of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Site, you consent to the collection and use of your information as described in our Privacy Policy.
We collect personal information including name, email, phone number, address, payment information, and demographic information for the purposes of processing reservations, newsletter communications, and fulfilling purchases. We use Cloudbeds for room reservation payment processing and Stripe for online store payment processing. We do not store complete credit card information on our servers.
14. Communications from Us
14.1 Electronic Communications
By using the Site or providing us with your contact information, you consent to receive electronic communications from us, including emails regarding your reservations, purchases, account, and promotional materials. These communications are part of your relationship with us, and you receive them as part of your use of the Site.
14.2 Transactional Communications
You agree that we may send you transactional or relationship messages without offering you the opportunity to opt out, including reservation confirmations, payment receipts, account notifications, and important updates regarding your bookings or the Hotel.
14.3 Marketing Communications
If you have subscribed to our newsletter or opted in to marketing communications, we may send you promotional emails about new services, special offers, or other information we think you may find interesting. You may opt out of these marketing communications at any time by following the unsubscribe instructions in the emails or by contacting us at rooms@thenortheastlandhotel.com.

16. Severability
If any provision of these Terms is held to be invalid, illegal, or unenforceable, the validity, legality, and enforceability of the remaining provisions shall not in any way be affected or impaired. The invalid, illegal, or unenforceable provision shall be deemed replaced by a valid, legal, and enforceable provision that comes closest to the intention underlying the original provision.
17. Waiver
No waiver by The Northeastland Hotel of any term or condition set forth in these Terms shall be deemed a further or continuing waiver of such term or condition or a waiver of any other term or condition. Any failure by us to assert a right or provision under these Terms shall not constitute a waiver of such right or provision.
18. Entire Agreement
These Terms, together with our Privacy Policy and Guest Policies, constitute the entire agreement between you and The Northeastland Hotel regarding the use of the Site and supersede all prior and contemporaneous understandings, agreements, representations, and warranties, both written and oral, regarding the Site.
19. Assignment
You may not assign or transfer these Terms or any rights or obligations hereunder, by operation of law or otherwise, without our prior written consent. We may assign these Terms or any rights or obligations hereunder without restriction. Subject to the foregoing, these Terms will bind and inure to the benefit of the parties and their respective successors and permitted assigns.
20. Survival
All provisions of these Terms which by their nature should survive termination shall survive termination, including without limitation ownership provisions, warranty disclaimers, indemnity, and limitations of liability.
